Krozan ("Krozan," "we," "us," or "our") provides AI-powered customer service agents that answer, book, and follow up with customers across phone calls, WhatsApp, and web chat on behalf of business clients ("Customers"). This Privacy Policy explains how we collect, use, disclose, and protect information when you visit krozan.com, when you (as a prospective or current Customer) submit information through our website, and when calls, messages, or chats are handled by our AI agents on a Customer's behalf.
We collect the following categories of information:
Website form data: When you submit the "Request a call" or "Contact us" forms on krozan.com, we collect your name, email address, phone number, and any message you provide.
Call, chat, and message content: When our AI agents handle a call, WhatsApp message, or web chat for a business Customer, we process the audio, transcription, and content of that conversation, including caller-provided details such as name, contact information, service requests, appointment preferences, and any other information volunteered during the interaction. Calls are recorded and transcribed as part of the service, and our AI agents disclose that the interaction may be recorded and handled by an AI system at the start of each call.
Usage and technical data: Standard website analytics data such as IP address, browser type, device type, referring pages, and pages visited on krozan.com.
Integration data: Where a Customer connects Krozan to their calendar, CRM, or scheduling tools (such as Calendly), we process the data necessary to check availability, book, reschedule, and confirm appointments within those connected systems.
We use the information described above to: operate and provide the Krozan service on behalf of our business Customers (answering calls/messages, booking appointments, sending confirmations and reminders, qualifying leads, and escalating calls to a human when needed); respond to inquiries submitted through our website; improve and train our AI agents' performance, accuracy, and conversation quality; maintain records, analytics, and call histories for our Customers' dashboards; send appointment confirmations, reminders, and review requests via SMS or WhatsApp on behalf of Customers; and comply with legal obligations and enforce our Terms of Service.
When Krozan handles calls, chats, or messages on behalf of a business Customer, we act as a service provider / data processor for that Customer. The business Customer is responsible for informing its own callers and customers about how their information is collected and used, consistent with applicable law. Krozan's AI agents disclose at the start of each call that the conversation may be recorded and is being handled by an AI assistant.
We do not sell personal information. We may share information with: subprocessors and service providers who help us deliver the service, including telephony and SMS providers, WhatsApp Business API providers, calendar and scheduling providers (e.g., Calendly), CRM platforms our Customers connect, cloud hosting providers, and AI/speech-processing providers used to power call transcription and conversation handling; our business Customers, since call and chat data collected on their behalf is made available to them through their dashboard; and as required by law, legal process, or to protect the rights, property, or safety of Krozan, our Customers, or others.
Krozan operates in and serves businesses in both Canada and Saudi Arabia, and may process data using service providers located in other countries. Where we transfer personal information across borders, we take steps to ensure it continues to be protected in a manner consistent with this Privacy Policy and applicable law.
We retain call recordings, transcripts, and form submission data for as long as reasonably necessary to provide the service to our Customers, support their business records, and comply with legal, accounting, or reporting obligations, after which it is deleted or anonymized, unless a longer retention period is required or permitted by law or requested by the relevant business Customer.
Depending on your location, you may have rights to access, correct, delete, or restrict the use of your personal information, and to object to certain processing. If your information was collected through a call, chat, or message handled by Krozan on behalf of a business Customer, please contact that business directly, as they control that data; Krozan will support them in fulfilling applicable requests. We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, disclosure, alteration, or destruction. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Krozan's services are intended for use by businesses and their adult customers. We do not knowingly collect personal information from children, and our website and services are not directed to children under 16.
We may update this Privacy Policy from time to time. We will post the updated version on this page with a revised "Last updated" date. Continued use of our website or services after changes take effect constitutes acceptance of the updated policy.
